A practical guide to keeping availability aligned across sales channels and reducing the risk of double bookings.
Use one availability source
The booking calendar should be the operational centre for every sales channel. When availability changes in one place, the next update should reach connected channels without manual copying.
Check the complete reservation flow
Availability is only one part of the process. A new reservation must also reach the guest record, payment workflow, check-in preparation, and housekeeping task list.
Watch exceptions early
Connection issues and unusual booking changes still need attention. A clear status and notification process helps the team investigate before a guest is affected.
How Aplus PMS supports the process
Aplus PMS connects reservations, guests, channel availability, payments, check-in, and housekeeping in one operating workflow. The team works with current information instead of manually reconciling separate tools.
iCal is not the same as a Channel Manager
An iCal feed shares calendar dates on each channel's schedule. It can suit a simple setup, but it does not create one operational record for the reservation, guest, payment and team tasks. A Channel Manager connects supported booking channels to the working system. Update timing still depends on the channel and connection, so no integration removes the need to monitor exceptions.
Test one property before connecting the portfolio
Map properties, room types, rates and booking rules first. Then make a test reservation, change its dates and cancel it. Check that the booking and availability are updated where the team actually works. Only after this complete scenario should the same mapping be applied to the remaining properties.
Check exceptions during each shift
Review new reservations, date changes, cancellations and synchronisation errors at the start of a shift. Assign one person to investigate exceptions rather than assuming somebody else saw an alert. Each week, compare the connected channels' availability and restrictions with the booking calendar.
Avoid common setup mistakes
Leaving one channel outside the shared calendar, changing availability manually in an extranet or connecting every property without a control booking can recreate overbooking risk. Recheck mappings whenever a property, rate or booking rule changes.
