From bookings to cleaning: hotel management in Aplus PMS

Bookings in one account, cleaning in a chat, payments in a spreadsheet. Sound familiar? Here is how to bring the hotel's daily work together in Aplus PMS.

From bookings to cleaning: hotel management in Aplus PMS

When one date change creates five tasks

A guest moves their arrival to tomorrow. The receptionist changes the booking, messages the cleaner, checks the payment and tells the next shift. If someone uses an old spreadsheet, the room may be prepared for the wrong day. The problem is not the people. Each person is seeing a different version of the information.

Aplus PMS helps the team work with a single booking record. It holds the guest, room, dates and payments. Housekeeping and check-in are connected to the same work. The software does not make every decision for the receptionist, but they no longer have to look in several places for the basic details.

Channel bookings in one calendar

Aplus PMS Channel Manager connects Booking.com, Airbnb and other supported platforms. The team sees bookings in a shared room calendar, while availability is synced across connected channels. How quickly updates arrive also depends on the platform and the connection.

For example, a room is booked through Booking.com. The receptionist opens the booking in Aplus PMS and sees the dates and guest, rather than copying details from an email. Before connecting a channel, room types and rates need to be mapped correctly. After launch, test a new booking, a date change and a cancellation.

Guest details beside the booking

A guest asks for a quiet room or tells you they will arrive late. Save these details in the booking, not only in the receptionist's personal chat. The next shift needs to know what has been agreed and what still needs doing.

In Aplus PMS, the team can use integrated Booking.com and Airbnb chats from the booking record. There is no need to move the conversation to a separate messaging app. Access to a particular conversation depends on the relevant channel connection. If you need a phone number to call the guest, check that contact separately.

Check-in without repeating the same instructions

Where is the entrance? When can I check in? How do I get the keys? In Check-in App, you can prepare the address, rules, documents, Wi-Fi details and property access instructions. The guest receives a link with the information they need before arrival.

The receptionist spends less time repeating the same details, and the guest has clear steps to follow. But the instructions only work if you have checked them: the address is correct, key collection details are current and the support contact answers. The software does not install a lock or guarantee that a door will open without properly configured equipment.

Cleaning around the next arrival

After check-out, the room needs to be prepared for the next guest. In the Housekeeping module, the team works with tasks, assigned staff, comments and readiness statuses. The manager can more easily check what is finished and where help is needed.

Suppose a guest requests an early check-in. A gap in the calendar is not enough. You need to confirm that the previous guest has left, cleaning is complete and the room has been checked. The status in the software helps you decide, but a staff member must update it after the work is done.

Keep track of payments across terminals and spreadsheets

A booking needs to show the cost of the stay, payments received and the balance due as separate amounts. If a guest has paid a deposit, the receptionist should see it before check-in. If the guest orders an extra service, its payment needs to be recorded against their stay.

Aplus PMS has payment tracking tools and supported payment integrations. For a connected POS terminal, you can set up the transfer of the amount from the booking. Fiscal receipt reporting is configured separately. Available features depend on the plan and connected services, so the team checks your specific process before launch.

Shift handovers without searching through chats

At the end of a shift, the receptionist checks upcoming arrivals, unpaid balances, room readiness and agreements with guests. The next staff member opens the current bookings and continues the work. There is no need to piece together updates from several people's messages every morning.

This needs simple rules: where to leave a comment, who updates cleaning status, when to record a payment and who should handle a problem. Access permissions are configured according to the staff member's role and the features of the plan. One system will not help if the team keeps separate records that nobody else knows about.

How to start without overloading the team

Prepare a list of rooms and room types, current rates, access to booking channels and the data to transfer from your old software. Importing guests and bookings depends on the available export and the quality of the source data. After the transfer, check dates, amounts and possible duplicates.

Start by working through one complete stay: receive the booking, check the payment, prepare the room, send the instructions and record check-out. The team can then see the whole process in a real example. The aim of moving to Aplus PMS is simple: less copying of data and a clearer view of what is happening in the hotel.
