No overnight reception still means help must be available
A guest arrives at one in the morning after a long journey. They need to find the building, get inside and work out where their room is. If all they have is a message with a code, any unclear detail becomes a problem. The building might have two entrances, for example, with the right one facing the courtyard.
Aplus PMS helps you prepare information before arrival and keep it linked to the booking. But the system does not replace a responsible staff member. If a code does not work, the guest cannot find the keys or an urgent situation arises, they need to know who can help and how to contact them.
Which properties may suit this approach
Contactless late-night check-in is worth considering for apartments and small hotels where the route to the room is straightforward, access is prepared in advance and most questions can be resolved before arrival. You also need to consider guests who may need help in person.
If someone needs to check documents, take payment or escort a guest to the room on site, first decide who will do it. Do not remove the night shift just because you have new software. The decision depends on your property's service, access arrangements, guests' needs and the requirements that apply to your business.
What to agree with the guest before evening
Ask for an approximate arrival time in advance and explain how late check-in works. Check payment and document arrangements. If the remaining balance must be paid on site, the guest needs to know whom to pay and how to do it at night.
Provide a support contact who will be available and a backup way to get the instructions. Do not assume a message has been read just because you sent it. Before the working day ends, confirm that the guest knows the address, how to enter and how to collect the keys.
One set of instructions instead of scattered chat messages
In Aplus PMS Check-in App, you can bring together the address, landmarks, rules, Wi-Fi details, documents and property access information. The guest opens a page and sees the steps to follow. Write them for someone arriving for the first time who does not know the building.
For example: enter from the courtyard, find the door with the hotel's name, collect the key from the agreed place and go to the second floor. If you have a photo of the entrance, add a current one. Avoid phrases such as "come in as usual". Nothing is "as usual" for a new guest.
How guests enter depends on the property's equipment and working arrangements. Check-in App shares information; it does not mean that every lock is automatically integrated with the PMS. Walk through the whole route yourself before the first late-night arrival.
How to send information to a Booking.com or Airbnb guest
If a booking comes from Booking.com or Airbnb, you can use that channel's integrated chat in the Aplus PMS booking record. The team sends instructions in the guest's conversation, with the stay details alongside it.
Do not make a phone number the only way to communicate. If the booking record has no number, check the available chat and how to send the link. The guest also needs a contact who will answer if they need urgent help during check-in. Do not promise an instant response if nobody monitors that channel at night.
An available room is not necessarily a ready room
Before sending the final instructions, check that the previous guest has left, cleaning is finished and the room has everything needed. In Aplus PMS Housekeeping, you can manage tasks, comments and readiness status. A staff member updates the status after completing the work, and the manager checks exceptions.
Check the key or access code separately. Do not send a guest another room's details or ignore a reported fault. Even a small mistake feels worse at night when the guest is tired and there is no staff member nearby.
What to do if the usual process fails
Agree on who answers overnight requests, who can come to the property and where the spare key is kept. Prepare brief instructions for staff: check the booking, confirm the room, find out what is wrong and offer a safe way to help.
You also need a backup if there is no internet or the guest page is unavailable. The guest should have the essential details before travelling, and the responsible staff member should know what to do without their usual screen. Share access details only with the guest they belong to.
How to test the process before launch
Ask a colleague who does not know your building to follow the guest's route. Have them find the entrance, open the instructions and try to reach the room using the agreed steps. Note where they stop or ask questions. Those are the parts that need a clearer explanation.
After the first late arrivals, ask guests what was unclear. Check which questions recur, whether the overnight contact answers and whether rooms are ready on time. Aplus PMS helps organise these tasks, but check-in quality depends on the whole team. Success means the guest reached their room calmly and knew where to get help, not merely that reception was closed.
